  • Punctuation and capital letters are ignored
  • Special characters like underscores (_) are removed
  • Known synonyms are applied
  • The most relevant topics (based on weighting and matching to search terms) are listed first in search results
Topics are ranked in search results by how closely they match your search terms
  • A match on the entire phrase you typed
  • A match on part of the phrase you typed
  • A match on ALL of the terms in the phrase you typed
  • A match on ANY of the terms in the phrase you typed

    Managing your users

    Use Subscription Management to monitor and manage your users and subscription licenses. Ensure that users have access to the correct applications and monitor over-allocation to stay within compliance.

    Overview

    Your instance auto-allocates and reports on monthly usage for all subscription types. See Automatic allocation. However, you can still manage your users manually by adding or removing them from a subscription.

    Methods for managing users

    • Define user sets and then add user sets to the subscription. See Subscription user sets.
    • Allocate individual users to the subscription. See Allocate an individual user from the Subscription form and Allocate an individual user from the User Record form.
    • Remove a user from a subscription that was added directly. See Unsubscribe a user.
    • Exclude a user from being added directly. See Exclude a user from a subscription.

    Guidelines for managing users

    While users are auto-allocated based on their roles, you can still manage aspects of user allocation.

    • You can allocate users to a right-to-use subscription individually or by using user sets. Users added this way appear as Added Directly in the Subscribed Users list.
    • You can remove users from a subscription, but only if they were added directly.
    • You can exclude users to prevent them from being added directly to a subscription.
    • You can over-allocate users to a subscription and it will be flagged. Remove users or purchase more subscriptions to stay within compliance.

    User roles in Subscription Management

    You can manage your users' roles to change the way that they are automatically allocated. See Roles.

    • Subscription user sets

      User sets allow you to group users together to easily allocate them to a subscription. You can create a user set to assign additional users or non-entitled users to a subscription. Additionally, users can be grouped by conditions, such as what city or department they are in, ensuring the right group of users have the access to applications they need.

    • Allocate an individual user from the Subscription form

      Allocate individual users to a subscription directly if they were not automatically allocated. Users that you allocate directly are subscribed immediately and listed as Added Directly.

    • Allocate an individual user from the User Record form

      Allocate a user to a subscription from the User Record form. Users that you allocate directly are subscribed immediately and listed as Added Directly.

    • Unsubscribe a user

      Remove a user from a subscription.

    • Exclude a user from a subscription

      Exclude a user to prevent them from being accessing a subscription.

    • Remove a user from the Excluded list

      Remove a user from the excluded list of a subscription. Users can then be allocated to that subscription.
