    Create and modify dependencies between close tasks

    You can create dependencies between the tasks to set and enforce the order in which the task owners perform the tasks. It is easiest to build task dependencies while creating sets of tasks. When you duplicate a workbook, the dependencies are also copied along with the tasks.

    Before you begin

    Role required: sn_fcms.finance_close_admin or sn_fcms.journal_preparer

    About this task

    In Finance Close Automation, you can set the finish-to-start dependency between tasks, meaning a task must not be started until its predecessor is finished. The task dependencies are saved in the Planned Task Relationship [planned_task_rel_planned_task] table.

    You can create task dependencies in the following ways:
    • In Planning Console, from Gantt chart or WBS sections

      The Gantt chart displays the start and end dates of functional workbooks and tasks and the dependencies between tasks using graphical elements such as lines and bars. The work breakdown structure (WBS) list displays the hierarchical list of functional workbooks and tasks.

    • In Finance Workspace, from the Dependencies Overview section in the ribbon or Predecessors Tasks or Successor Tasks tabs

    Procedure

    1. Navigate to Finance Close Automation > Close Workbooks.
    2. Open the current period close workbook and click the Planning Console related link.
      Note: Alternatively, you can open the planning console from the navigation bar Finance Close Automation > Planning Console and then select a workbook in it.
    3. Create a dependency from one of these sections in the planning console:
      OptionSteps
      From the Gantt chart
      1. Click a task on the Gantt chart side of the planning console.

        A white circle appears on either end of the taskbar.

      2. Click one of the white circles and drag it to the start of another task.
      The dependency is created and appears as a connector line between the two tasks.
      From the WBS section
      1. Right-click a task and select Add Predecessor or Add Successor.
      2. In the Select a Task field, select the task to which the dependency should be created.
      3. In the Lag (in Days) field, enter the lag time between predecessor and successor tasks. Lag time can be positive or negative.

      Alternatively, double-click in the Dependency column for the task and enter the WBS number of the task to which you require to create a dependency.

    4. Verify that the dependency is correct. You can change a dependency until you kick start the workbook for the period.
      To delete a dependency between two tasks, right-click the dependency line between the tasks in the Gantt chart and select Delete Link.

    Result

    • The dependency is created and appears as a connector line between the two tasks in the Gantt chart.
    • The Dependency column in the WBS section of the Planning Console shows the dependency value in the following format:

      {WBS_number}{dependency_type}+{lag_time}

      Where,
      • WBS_number is the number of the predecessor task in the relationship.
      • dependency_type is the type of dependency that the application supports.
      • lag_time is the amount of time, in days, to delay the start of the dependent task. This value can be positive or negative integers.
      For example:
      Dependency type Example Description
      Finish to start 1.1fs+0 The task you are editing starts when task 1.1 is finished.
      Here
      • 1.1 is the number of the predecessor task.
      • fs is the finish to start dependency.
      • 0 is the amount of lag time which means no delay.
    • In the Finance Workspace, the dependencies display in the Dependencies Overview section in the ribbon. The Predecessor Tasks and Successor Tasks tabs list the dependent tasks for the close task. The Predecessor Tasks tab displays the tasks that must be completed before the current task can be completed. The Successor Tasks tab lists the tasks that depend on the current task.
    • On the Close Task form, the Predecessor Tasks and Successor Tasks related lists appear based on the type of dependencies created.

    Add or remove dependencies between close tasks from Finance Workspace

    You can add or remove dependencies between the tasks from Finance Workspace to set and enforce the order in which the task owners perform the tasks.

    Before you begin

    Make sure the close task to which you want to add a dependency task belongs to a workbook in the Planning state.

    Role required: sn_fcms.finance_close_admin or sn_fcms.journal_preparer

    About this task

    Note: As a task owner, you can add dependency tasks to only to close tasks that are assigned to you.

    Procedure

    1. Navigate to Finance Close Automation > Finance Workspace.
    2. Click the lists icon (Lists icon) and select the accounting period.
      By default, the latest open accounting period is selected.
    3. In the Lists tab, under Close Tasks, click All.
    4. In the list, select a task to which you want to add a dependency.
    5. Add a predecessor or successor task from one of the following sections of the close task form:
      • In the Dependencies Overview section of the ribbon, click the add dependency icon (+) next to the Predecessors or Successors bars.
      • In the Predecessor Tasks or Successor Tasks tab, click Add Predecessors or Add Successors.
    6. In the dialog box, select tasks that you want to add as a predecessor or successor for the current task.
    7. Click Add.
      To remove a dependency task, select the task and click Remove Predecessors or Remove Predecessors in the respective tabs.

    Result

    Based on the predecessor or successor dependency tasks you added,
    • The dependency tasks you selected are added to the lists in the respective tabs.
    • The count of the dependency tasks that is displayed under the Predecessors or Successors bars in the Dependencies Overview section is updated.
