Create a program

Create a program to manage related projects and demands. Define the duration, estimated cost, benefits, and ROI to the organization.

About this task

Procedure

  1. Navigate to Project > Programs > Create New.
  2. Fill out the program form.
    Table 1. Project form fields
    Field Description
    Program Name The name of the program.
    Program manager The program manager assigned to the program.
    Portfolio The portfolio to which the program belongs.
    Number A system generated number with a configurable prefix.
    State The current state of the program.

    Following are the default states: Pending, Open, Work in Progress, Closed Complete, Closed Incomplete, Closed Skipped.

    Description A detailed description of the program.
    Dates tab
    Planned start date The intended date the program begins.
    Planned end date The intended date the program ends. The end date extends based on the end date of the program tasks, projects, and demands.
    Planned duration The expected duration of this program. The planned duration is updated whenever the planned end date of the program changes.
    Actual start date The date that the program actually began.
    Actual end date The date that the program ended.
    Actual duration The actual duration of the program from program start to program closure.
    Financials tab
    Estimated cost An estimated cost of the program.

    If you have created cost plans for the included projects and demands, the value is rolled up from the cost breakdown of program.

    You can also enter the value manually. Select a currency icon and enter a value.

    Actual cost The actual cost of the program.

    Budget cost Budgeted cost for this program.

    The value is rolled up from the cost breakdown of the program.

    You can also enter the value manually. Select a currency icon and enter a value.
    Planned benefit The planned benefit value for the program.

    This value is rolled up from the benefit breakdown of the program.

    You can also enter the value manually. Select a currency icon and enter a value.

    Planned returns Planned returns value is derived from the difference of the Planned benefit andEstimated cost values.

    Planned ROI% The result is calculated based on values in the Planned return and Estimated cost fields.

    Score Score of a program is calculated based on the individual scores of these attributes: risk score, value score, and size score, which in turn are calculated based on risk, planning ROI%, and estimated cost attributes (on a program) respectively.
    Note: Users are allowed to configure the formula for score calculation.
    Note: If the Estimated cost and Planned benefit values are rolled up from the cost and benefit plans, then the currency in which the roll up happens is determined by the currency property com.glide.financial_management.currency_code. If the property is not set, then the currency is derived from the global currency of the instance.

    Click the New button to create a new program task.

    Click New to create a new project.

    Click Edit to add existing project to the program.

    Risks Lists the risks that are part of the program.

    Risks of the program, and projects and demands are added.

    Click New to create a new risk.
    Issues Lists the issues that are part of the program.

    Click New to create a new issue.
    Cost plans Lists all the cost plans for projects and demands that are part of the program.
    Cost Breakdown Lists the program level cost breakdowns for each expense type with fiscal periods.
    Benefit Plans

    Lists the benefit plans for projects and demands that are part of the program.

    Benefit Breakdown Lists the program level benefit breakdowns for each benefit category with fiscal periods.
  3. Click Submit.
