    Assign and track field resources for an emergency

    As the Resources Unit Leader (RESL), you assign field resources and roles to an incident.

    Before you begin

    Role required: sn_imt.imt_resl_user and sn_imt.imt_locations_user

    Procedure

    1. Navigate to Emergency Response Operations > IMT Portal.
    2. Click IMT Rosters in the header and select an incident.

    3. Either assign a resource directly or make a preliminary request to a deputy if another area controls the resource you need or has a specific skill that your own resources do not have.

      Assign a resource directly
      1. Click the Assign Directly link under the position name.

      2. In the request pop-up window, begin typing an employee's name in the Assigned Person(s) field and then select the employee from the list.
      3. If the situation requires one employee to shadow someone else for a specific period of time, select the Shadow check box and select the dates for shadowing.
      4. Click Add Assignment.

        The employee’s name is displayed as a pending request.

      5. Click Save.

        A request is sent to the employee for acceptance and one is also sent to the employee's manager if the manager's name and email address is available. Once the employee accepts, an activation email is sent.

      Deputy request
      1. Click +New in the position's row in the relevant date column.

      2. In the request pop-up window, select the requested dates.
      3. If you are requesting resources from another division, select the relevant check box.
      4. If you prefer to assign a specific person, provide the name in the Preferred person (if known) field.
      5. In the Notes field, provide a reason for the request.
      6. Click Send to Deputies.

        The position is displayed in the roster with a Waiting status.

        Note: If the employee is not available, the deputies can assign it to a different person.
      7. To save the request without sending, click Save as a Draft, which enables requests to be sent later or cancelled.

    Result

    The email is generated from a template and customized with the employee’s name. For information about how to modify the template, see Create an email notification.

    After the employee clicks Yes or No in an email request, the roster is updated.
    • Ready appears in green when the deputies approve the requests.
    • Employee names appear in green for the staff members who accepted assignments.
    • Employees who are shadowing others are indicated by a person icon.
    • Waiting indicates that the RESL has requested that the deputy assign the position to a preferred person.
    • An employee name appearing in the roster view indicates that the person has been activated for the position.
    Note: If an employee receives requests for two positions in different locations at the same time, the employee must notify the manager. The manager can then deactivate the employee from one of the assignments.

    When users assume certain positions, they are granted certain IMT roles. When the user no longer has that position, the role is removed from their profile.

    If the position grants the imt_user role because it is inherited by all IMT roles, the IMT user role is retained after the position reaches its end date even though the user no longer has the parent role.
