The Regulatory Change Management application processes the feeds sourced
externally that provide a source document. It can be a regulatory or legislative
document.
When a source document type of Regulatory Feed is received, it provides the citation title
and number of the citation. The citation can already be available in the GRC library or a new
citation should be created. Each feed record contains meta data about the source document
including the citation name that helps the key stakeholders import the same in the regulatory
library. The source document import life cycle starts from the regulatory feed record.
Source document import workflow is managed through a Source Document Import Task. It is
created from a Regulatory Feed record. All the feed records that are of type source document
can be assessed for applicability. After that, if they are marked as
Applicable, a Source Document Import Task is automatically created.
When the RCM Manager marks an unassigned feed of source document type as applicable, a Source
Document Import Task gets created. A Source Document Import Task is used to ingest a
particular source document that is received from the provider into the regulatory library.
The RCM Manager can view and sort the Source Document Import Tasks:
- All tasks
- Unassigned tasks
- All assigned tasks
- Ready to Import tasks
- In-progress tasks
- Implementation tasks
- Pending approval tasks
- Closed tasks
- My approvals
The RCM Manager views the import document task under Source Document Import
Tasks > My Approvals and clicks
Approve to approve the task. The RCM User views the import document
task under Implementation Tasks.
In the Related list of the import document task, the state of the Action Task changes from
Draft state to Ready state. After completion
of the Action Tasks related to the import document task, either the existing citation gets
updated or a new citation gets inserted under the parent authority document in the GRC library
based on the chosen action.
The RCM Manager performs the following actions on the regulatory feed of source document
type:
- Assigns the feed of source document type to an RCM User
- Updates the feed with additional details
- Reassigns the feed of source document type to another RCM User
- Defers the feed to a later date by adding a reason and the comments
- Marks the feed as applicable or not applicable after performing an initial assessment.
It changes the state of the feed to In Progress.
The RCM User logs in and views the new feed of source document type under
Regulatory Feeds > New Feeds module. The state
of the feed is automatically marked as New.
Note: For source document type of feeds, an impact assessment is not needed.
The RCM User performs the following actions on a new feed of source document type:
- Clicks Update to update the details of the feed.
- Clicks Applicable to mark the feed as applicable. The state of
the source document import task is updated to In Progress. A
regulatory task of source document import type is created. The RCM User can view the
details of the import document task and update the work notes, work notes list, watch
list.
- Clicks Not Applicable to mark the feed as not applicable. The
state of the Source Document Import Task is updated to Closed.
The RCM User can optionally reassign the feed to another RCM User or defer it to a future
date.
The RCM Manager logs in, views the unassigned Source Document Import Tasks under
Source Document Import Tasks > Unassigned
Tasks, and assigns it to an RCM User.
The RCM User logs in and views the assigned Source Document Import Task under
Ready to Import Tasks. The states of the Source Document Import Task
are:
- Ready to Import
- In Progress
- Awaiting Approval
- Implementation
- Deferred
- Closed
The RCM User views the import document task in Ready to Import state,
evaluates the citation associated with the feed, and decides the future course of action for
the import document task.
The RCM User either chooses the Update action under
Action and the target citation under Target Citation in
the Import Task panel. The RCM User can also choose to insert a new
citation using Insert action under Action.
