    Workflow configuration for journal entries

    In a journal entry close task, you can manage journal entries individually or at the task level. The JE workflow configuration setting in a close workbook determines the level at which you can manage journal entries in associated tasks.

    Two workflow settings are available for journal entry tasks: the JE workflow configuration and the task workflow configuration.

    JE workflow configuration

    The JE workflow enables you to manage the journal entries individually. The following figure shows details of the JE workflow configuration.

    A JE task uses the JE workflow based on either of the following selections in the JE workflow configuration setting in the associated close workbook:

    • Journal Entry Level: All JE close tasks in the workbook use the JE workflow. The Use JE workflow field on the close tasks is read-only in this case.
    • Task or Journal Entry Level: You can choose to use the JE workflow while working on the associated close tasks. The Use JE workflow field on the close tasks is editable in this case.
    Assigning approvers for the JE workflow
    For a task using the JE workflow, you can choose to assign approvers either manually or automatically by setting the JE approver assignment value in the associated workbook:
    • Automatic: The approvers and their levels are automatically assigned to a journal entry based on predefined rules. The approvers are assigned when you submit the journal entry.
    • Manual: You need to assign the approvers in the JE header when creating a journal entry.

    Task workflow configuration

    The task workflow enables you to manage journal entries at the task level. The following figure shows details of the task workflow configuration.

    A JE task can use task workflow based on either of the following selections in the JE workflow configuration setting in the associated close workbook:

    • Task Level: All JE close tasks in the workbook use the task workflow.
    • Task or Journal Entry level: You can choose to use the task workflow while working on the associated close tasks. The Use JE workflow check box on the close tasks is enabled and not selected by default.

    For a JE task using the task workflow, the approvers are always assigned manually at the task level.
