Track and analyze projects with the Project Status Portal

You can track the progress of all your projects and analyze them from varied perspectives in the Project Status Portal.

Before you begin

Role required: it_project_manager

Procedure

  1. Navigate to Project Status Portal using either of the following options:

    1. Navigate to Projects > All.
    2. Filter the list to include the projects that you want to track on the portal.
    3. Click the Show Project Status Portal related link.
    Project Status Portal Navigate to Projects > Project Status Portal. By default, the last viewed report is displayed in the Project Status Portal.
    Note:
    • If you have opened Project Status Portal for the first time, the My Project Status Reports page is displayed. In this page, you can view all the reports for which you are the owner or a shared user, create, edit, or delete a report.
  2. To add filter criteria and further refine your project list, click Edit. In the Edit dialog box, perform the following actions:

    Name Specify a suitable name for your report.
    New Criteria Add filter criteria to refine your project list.
    Note: Project Status Portal displays only 200 projects at a time. If your filter condition filters more than 200 projects, additional projects are not displayed in the Timeline view. To view more than 200 projects, you must increase the record limit in the Planned task custom console [planned_task_custom_console] table. Increasing the limit might cause some performance issues.
  3. Click the cards to view more details about the project.

    All projects Displays all projects and their details in the Summary and Timeline views.
    Projects overbudget Displays over-budget projects and their details in the Summary and Timeline views. Over-budget projects are derived from projects for which the cost is reported as red in the latest status report (project_status table) by the project manager.
    Projects behind schedule Displays overdue projects and their details in the Summary and Timeline views. Overdue projects are derived from projects for which the schedule is reported as red in the latest status report (project_status table) by the project manager.
    Projects with high risks/issues Displays projects with high risks or issues in the Summary and Timeline views. Projects with high risks or issues are derived from projects that have any high priority issue or any high probability risk.
  4. (Optional) In the Summary view or Timeline view, look at and edit project details.

    Summary

    To sort projects, click any column header. To edit details for a project, click the project number. The updated details of the project automatically appear in the Summary view.

    Timeline To edit details for a project, right-click it in the Short description column. The updated details of a project automatically appear in the Timeline view, in both WBS and Gantt chart.
  5. To add members with whom you want to share your project status report, click Show users.
  6. To search for a report in the Project Status Portal, click the All reports icon in the Project Status Portal header.
    All Reports shows only the list of reports for which you are the owner or a shared user.
  7. To view all the project reports in the My Project Status Reports page, click the Show Reports icon in the Project Status Portal header.
    Show Reports shows only the list of reports for which you are the owner or a shared user.
