Publish a report

Publish a report to create a URL that anyone can use to access the report, including people who are not ServiceNow users. When a person visits the URL, the report is generated using current data.

Before you begin

Role required: both the report_publisher and itil role, report_admin, or admin

About this task

Data that is visualized as a chart is always visible in published reports. When a published report is a list report, ACLs are applied and users cannot see records that they do not have access to. Published reports cannot be modified from their published report URL. Users must open a report from the ServiceNow instance to modify it.

Users with the admin or report_admin role can see if a report has been published in Reports > View / Run.
Note: To make a report available only to logged in users, set its Sharing setting to Everyone, but do not publish it.

  1. Navigate to Reports > View / Run.
  2. Click the report you want to publish.
  3. Click the arrow next to the Save button to open the Report options menu and select Publish.
A message with the link to the published report appears at the top of the page. This message is available until the report is unpublished. See Unpublish a report.
Note: Business rules may affect how records are collected for public reports. For more information, see Business rulesBusiness rules.

Unpublish a report

Published reports stay at the published URL until they are unpublished.

  1. Navigate to Reports > View / Run.
  2. Select the report you want to remove.
  3. Click Unpublish.
