Resource workbench

The resource workbench gives resource managers a comprehensive view of resource capacity, allocations, utilization and availability for a specific resource.

Use the workbench to make sure your resources are being managed effectively.

The workbench shows the following:
  • The top pane provides a summary of the plan, including the name of the group or user resource and the state and end date.
  • The resource utilization graph shows these items in the stacked bar chart:
    • Requested hours: The number of hours that the resource has been requested for all resource plans.
    • Allocated hours: The number of hours that the resource is already committed. This value takes into account all resource plans and the hours on the user's calendar, such as hours allocated for operational work or meetings.
    • Available hours: The capacity of the resource, minus the hours requested and allocated.
  • The graph shows these trend lines:
    • Capacity: The total capacity trend for the resources, which is derived from the user or group's schedule. Group capacity is rolled up from the schedules of all the members.
    • Estimated Utilization: Resource utilization including hard allocations, soft allocations and resource plans in the planning state. The calculation for this trend line is (Total hours from plans in the planning, requested and allocated state / Capacity) * 100. This line is useful for resource requesters to estimate the overall utilization picture because it considers all resource plans. If utilization is greater than 100%, resources might not get allocated to a plan because the demand is more than resource capacity.
    • Forecasted Utilization: Resource utilization including both hard and soft allocations.. The calculation for this trend line is (Total hours from plans in the requested and allocated state / Capacity ) * 100. This line is useful for resource managers to understand how committed utilization would look if resources are allocated to resource plans in the requested state. If utilization is greater than 100%, resources are over-allocated.
    • Committed Utilization: Resource utilization including only hard allocations. The calculation for this trend line is ((Total hours from plans in the Allocated state) / Capacity) * 100.
  • The Resource Plans list shows the resource plans where the same resource is being requested. For example, if the group resource Database is being requested by the selected resource plan, the list shows all the resource plans where the Database group is requested or any member of the group is requested.
